CLIPPERS BASEBALL CLUB BOARD MEETING

Opening: Clippers Baseball Club Board Meeting was held Sunday, April 11, 2021 remotely at 8:00pm.

Board Members Present: Nick Pfeiffer (President), Jeremiah Herdliska (Vice President), Kelly Weber (Treasurer), Matt Carlson (Secretary), Bridgette Schares, Katie Piper, Jessi Drake, Jen Johnson, Ethan Smith, Cori Charbon

4/11/21 Meeting Minutes:

  1. Open Discussion from Membership:
    • A reminder to all Board members to send pics from your games and scrimmages to Nick Pfeiffer so he can post to the Clippers Baseball Club Facebook page.
  2. Update on Outstanding Action Items:
    • Bridgette Schares will approach Scratch Cupcakes for a cupcake fundraising sale.
      • Update: Bridgette Schares scheduled the Scratch Cupcakes fundraiser for June 2021.
      • Update: Bridgette will reach out to Scratch Cupcakes. They are mailing a packet of information to Bridgette as we get closer to the June fundraising date.
  3. Clipper Classic Awards:
    • The Club likes the idea of purchasing rings instead of trophies for division winners. Nick Pfeiffer will send a link to Board members where rings may be ordered.
  4. Clipper Classic Assignment of Duties:
    • The Clipper Classic Tournament is scheduled to begin 8am Saturday, 5/1, and 9am Sunday, 5/2.
    • Teams will be responsible for maintaining the field they play on in between games.
    • All fields are scheduled to be groomed and chalked Friday night, but Club members should be at the fields at 7am Saturday to ensure the fields are ready for play.
    • Kelly Weber will be the site lead at the Tiffin fields. Nick Pfeiffer will be the site lead at the North Liberty fields.
    • All teams will turn in their pitching cards to Kelly Weber and Nick Pfeiffer at the end of their games.
    • Nick Pfeiffer is ordering pitching cards for the tournament.
  5. Clipper Classic North Liberty Concession Stand Update:
    • The Club will have access to the North Liberty concession stand to stock supplies Friday, 4/30 at 9pm.
    • Kona Ice will be onsite at the Tiffin and North Liberty fields.
    • Mosely’s will cater and offer pulled pork sandwiches and hot dogs.
    • Bridgette Schares is working with Fareway to get concessions at cost.
    • The Club is considering breakfast menu options.
    • Umpires will be provided with water during the Clipper Classic.
  6. 2022 Clipper Classic Management Discussion:
    • The Club is interested in outsourcing management of the Clipper Classic Tournament next season. The Club is in discussions with the folks at Triple Bagger.
    • If the Club chooses to move forward with outsourcing to Triple Bagger, they will run the entire tournament, and work to grow the tournament to make it more profitable in future seasons.
    • Triple Bagger will work to make sure the tournament fee is minimal or null for Club teams.
    • DECISION: The Clippers Baseball Club will outsource the Clipper Classic Tournament to Triple Bagger beginning with the 2022 season.
  7. 2022 Evaluation Dates and Process:
    • The Club typically provides two evaluation dates a few weeks apart to accommodate families who may be on vacation during summer months.
    • The Club will check availability of the Tiffin ballfields for evaluations. Tentatively discussed dates are Wednesday, 7/28 and Wednesday, 8/4. Nick Pfeiffer intends to get feedback from Club coaches on these dates before communicating dates out.
  8. Officers and Board Planning for Next Year:
    • The Club’s backup Facebook administrator is no longer with the Club. Cori Charbon will assume this role and be provided with administrator access.
    • Board members need to begin thinking about what positions they are interested in for next season. Nick Pfeiffer will be moving on from his current position as Club President but will continue providing support to the Board.
  9. Apparel Committee:
    • The Club currently has ~60 spring orders.
    • Ironside intends to do an automatic jersey reprint for those requested.
  10. Treasurer’s Report:
    • The latest monthly Clippers Baseball Club checking account statement from 3/31 has a balance of $23,185.65.
  11. Sponsorships:
    • HJR Financial Group donated $250 to earn Clippers Baseball Club Gold sponsor status.
  12. Fundraising:
    • No update.
  13. Decisions:
    • DECISION (10/14/19): The CCASD, insurance dues, and mound rental fees are the top debt priorities: $500 owed to CCASD, $793.10 owed for insurance dues, and $500 owed for mound rental fees.
    • DECISION (10/14/19): There is $479 left after CCASD, insurance dues, and mound rental fees are paid.Of the remaining funds raised $100 will go to Tiffin Parks & Rec, and $350 will go to North Liberty Parks & Rec.
    • DECISION (11/11/19): The Clippers Club Board voted in favor of making the Clipper Classic a one-day USSSA sanctioned tournament.
    • DECISION (12/9/19): $621.72 has been raised to repay debts. The club will pay $300 to the City of North Liberty, and $300 to the City of Tiffin.
    • DECISION (2/10/20): $899.23 has been raised to repay debts. The club will pay $450 to the City of North Liberty, and $450 to the City of Tiffin.
    • DECISION (3/9/20): $705.54 has been raised to repay debts. The club will pay $610 to the City of Tiffin, and $100 (rounded up) to the City of North Liberty.
    • DECISION (4/13/20): The Clippers Baseball Club Board will split the $1,000 grant money evenly among the 6 club teams. Each team may be reimbursed up to $166.67 for equipment purchased between 1/1/20 – 5/31/20.
    • DECISION (4/13/20): $187.23 has been raised to repay debts. The club will pay $180 (rounded down) to city of North Liberty.
    • DECISION (6/8/20): $674.25 has been raised to repay debts ($675 rounded up). The club will pay $500 to the Clippers Baseball Club Scholarship debt and $175 to the city of North Liberty.
    • DECISION (8/17/20): $1,056 was approved by the Board to pay towards the City of North Liberty debt. Debt paid in full.
    • DECISION (8/17/20): $285 was approved by the Board to pay towards the Clippers Club 7U 2019 debt. Debt paid in full.
    • DECISION (8/17/20): $620 was approved by the Board to pay towards the Clippers Club 8U 2019 debt.
    • DECISION (8/17/20): $1,696 was approved by the Board to pay towards the Clippers Club 11U 2019 debt.
    • DECISION (2/8/21): The Clippers Baseball Club will align its COVID-19 quarantine policy guidelines with that of the Clear Creek Amana Community School District.
    • DECISION (4/11/21): The Clippers Baseball Club will outsource the Clipper Classic Tournament to Triple Bagger beginning with the 2022 season.
  14. Outstanding Action Items:
    • ACTION ITEM (9/15/20): Bridgette Schares will approach Scratch Cupcakes for a cupcake fundraising sale.
