CLIPPERS BASEBALL CLUB MEETING

Opening: Clippers Baseball Club meeting was held on Monday, October 14, 2019 at Tiffin City Hall in Tiffin, IA at 6:00pm.

Board Members Present: Nick Pfeiffer (President), Kelly Weber (Treasurer), Matt Carlson (Secretary), Sarah Seidl, Bridgette Schares, Nick Berning, Ethan Smith, April Schmitz

Others Present: Golda Monohon (former Secretary)

  1. Open Discussion from Membership:
    • No updates.
  2. Update on Action Items from Previous Meeting:
    • Golda Monohon will contact Sarah Gaeta from the CCASD to get invoice for gym usage for indoor practices – COMPLETE
      • Invoices were emailed to former President’s account in April 2019 and were not received by the Board. The invoice total for all teams from Sarah Gaeta is $500.
      • Sarah Gaeta wants to prepare for the 2020 season and needs insurance information before she can get started.
    • Nick Pfeiffer will discuss debt forgiveness/repayment options with Jonas Zimmerman (Tiffin Parks & Rec) – IN PROGRESS
      • Nick Pfeiffer has not heard back from Jonas Zimmerman yet.
    • Bridgette Schares will confirm the availability of field use for two weekends as a gift to the club with Brian Motley (North Liberty Parks & Rec) – IN PROGRESS
      • Bridgette is waiting to hear back from Brandon Schrock.
    • Nick Pfeiffer will reach out to the Tiffin Fire Department to check interest and availability to host garage sale fundraiser – COMPLETE
      • Garage sale and bake sale fundraiser raised $1,878.
    • Ethan Smith will reach out to Bryant’s to check interest to host fundraiser – IN PROGRESS
      • Ethan Smith has not been able to discuss the fundraiser with Bryant’s owner yet. Ethan got the owner’s contact information from an employee.
    • Britta Gravelin will reach out to the North Liberty Jimmy Jack’s to check interest to host fundraiser – IN PROGRESS

    • Matt Carlson will update the Clippers Baseball Club Parent Information Guide and send to Board for review and approval of changes by the end of September – COMPLETE
      • The Parent Information Guide has been updated with input from the Club Board.

  4. Review of Fundraising Activity Since Previous Meeting:
    • Panchero’s
      • Raised $638.76
    • Garage sale and Bake Sale
      • Raised $2,186 ($1,901 in cash, $285 in store credit at Play It Again Sports)
      • Shoppers that mention the Clippers Baseball Club at Play It Again Sports will receive a 10% discount off their purchase.
  5. Future Fundraisers:
    • Bracelet Sales (Kelly Weber)
      • 200 bracelets were ordered at $636.
      • Bracelets expected to be available in 4-6 weeks.
    • Scratch Cupcakes (April Schmitz)
      • Nick Pfeiffer reached out to Scratch Cupcakes, and they provide catalogs of products the club can sell door-to-door.
      • The Club would make 40% sales. Nothing available in 2019, they are booking in 2020. Groups can expect to earn $1,000 to $12,000.
      • Delivery 3 weeks after order.
    • Old Roy’s (Kelly Weber)
      • Other club baseball teams have worked out a night with the owner where club parents wait tables to fundraise.
    • Regional Sports Authority District Grant (Nick Pfeiffer)
      • Nick Pfeiffer has applied for and received the grant. There will be reporting that needs to be completed after the Clipper Classic in 2020 for the Club to receive the grant worth $1,500. It’s essentially a reimbursement grant.
  6. Fundraising Brainstorm:
    • Kinnick Stadium Seatbacks
      • Nick Berning expressed interest in seatback installation at Kinnick Stadium.
      • ACTION ITEM: Nick Berning will check with the University of Iowa about acquiring the Kinnick Stadium seatback installation contract.
    • Meals on Wheels
      • April Schmitz expressed interest in fundraising by working with the Meals on Wheels program.
      • ACTION ITEM: April Schmitz will contact the Meals on Wheels Program to get additional information. Fundraising targeted for November 2019.
  7. Update on Pending Legal Details:
    • The current Hills bank balance is -$689
    • The Club Board’s goal is to pay the City of North Liberty $2,600 by May 2020.
    • The Tiffin Parks & Rec Department has remained flexible with the Club’s repayment of debt owed.
    • There is a new building usage fee of $500 due to CCASD.
    • 2 umpires were paid.
    • USSSA sanction fee.
  8. Debts to be Paid from Fundraiser:
    • The Club has $2,272.38 available to pay debts.
    • DECISION: The CCASD, insurance dues, and mound rental fees are the top debt priorities: $500 owed to CCASD, $793.10 owed for insurance dues, and $500 owed for mound rental fees.
    • DECISION: There is $479.28 left after CCASD, insurance dues, and mound rental fees are paid. Of the remaining funds raised $100 will go to Tiffin Parks & Rec, and $350 will go to North Liberty Parks & Rec.
    • Teams need to be registered on the USSSA site before insurance numbers will be provided. Teams are prohibited from renting practice facilities without insurance.
    • ACTION ITEM: Nick Pfeiffer will email Clippers Baseball Club coaches USSSA registration instructions and timelines.

    • Venmo Discussion
      • Kelly Weber set up a Venmo account for the Club.
      • We should consider using Venmo to pay umpires more quickly next season.
  10. Club Branding:
    • The Club cannot sell apparel that includes a ship logo, this can only be used on team uniforms.
    • We are limited to using the word “Clippers”, the letter “C”, an anchor logo, or developing a new logo.
    • The Club will use the same uniforms for the 2020 season, the branding update will take effect for the 2021 season at the earliest.
    • Kelly Weber will take suggestions back to the designer to create new logos options.
  11. Open Discussion:
    • The weekend of May 3-4 was reserved for the Clipper Classic with Brian Motley.
    • There was a discussion around enforcing club parents to work a concession stand shift at tournaments. This may be an economic alternative to paying the Optimist Club $800 to run the concession stand.
    • ACTION ITEM: Kelly Weber will schedule two nights in January with Ironside Apparel to get team uniform measurements.
  12. Decisions:
