CLIPPERS BASEBALL CLUB BOARD MEETING

Opening: Clippers Baseball Club Board Meeting was held Monday, December 9, 2019 at Tiffin City Hall in Tiffin, IA at 6:00pm.

Board Members Present: Nick Pfeiffer (President), Kelly Weber (Treasurer), Matt Carlson (Secretary), Sarah Seidl, Bridgette Schares, Jamie Etscheidt

Others Present: Golda Mohonan, Brandon Schrock, Trent DeKoter, Reggie Meade, Angela Jurgens, Britta Gravelin

  1. Open Discussion from Membership:
    • No update.
  2. Clippers Baseball Club Tax Filing:
    • Reggie Meade completed the Clippers Baseball Club 2017 tax return. Club President Nick Pfeiffer will need to sign off on the return before it’s filed.
    • After the 2017 return is filed the club expects to receive a penalty statement from the IRS. The club will request that the penalty to be waived.
    • Once the 2017 tax return is complete Reggie will begin work on the 2018 tax return.
  3. Update on Outstanding Action Items:
    • Nick Pfeiffer will discuss debt forgiveness/repayment options with Jonas Zimmerman (Tiffin Parks & Rec) – IN PROGRESS
      • No update.
    • Bridgette Schares will confirm the availability of field use for one weekend as a gift to the club with Brian Motley (North Liberty Parks & Rec) – IN PROGRESS
      • The city of North Liberty has verbally agreed to provide the Clippers Baseball Club with access to their baseball fields the weekend of 6/6/20-6/7/20. The club can choose to use both days or just one.
      • The club is considering hosting a second tournament aside from the Clipper Classic.
      • The club will discuss this opportunity in further detail at the 1/13/20 board meeting.
    • Ethan Smith will reach out to Bryant’s to check interest to host fundraiser – IN PROGRESS
      • No update.
    • Bridgette Schares will reach out to the North Liberty Jimmy Jack’s to check interest to host fundraiser – COMPLETE
    • April Schmitz will reach out to the North Liberty Mosley’s to check interest to host fundraiser – COMPLETE
    • Nick Berning will check with the University of Iowa Athletic Department about acquiring the Kinnick Stadium seatback installation contract – IN PROGRESS
      • Nick Berning contacted the University of Iowa and the Clippers Baseball Club is on their list in case the current contract holder (City High School) decides they are no longer interested in the contract.
    • April Schmitz will contact Naomi’s Kitchen to get additional information about fundraising opportunities. Fundraising targeted for March 2020 – IN PROGRESS
      • We are targeting March 2020 for this fundraiser.
      • The club will need to decide a pickup location with freezers/coolers. It is not clear if the club can go to their North Liberty location to pickup food.
      • The club will follow-up on this fundraising opportunity at the 1/13/20 board meeting and further discuss logistics.
    • Kelly Weber will schedule two nights in January with Ironside Apparel to get team uniform measurements – COMPLETE
      • Kelly scheduled two nights for uniform measurements, on 1/20/20 and 1/21/20 at Tiffin City Hall.

    • Bridgette Schares will contact Texas Roadhouse to check interest to host fundraiser. Targeted for February 2020 COMPLETE
    • April Schmitz will contact Mellow Mushroom to check interest to host fundraiser – COMPLETE
    • Trent DeKoter will provide a list of former club sponsors the Board may want to contact – COMPLETE
      • Trent DeKoter provided Nick Pfeiffer a list of businesses that were former Clippers Baseball Club sponsors.
    • Kelly Weber will contact Old Roy’s to check interest to host fundraiser – CLOSE OUT
      • No update.
    • Ethan Smith will contact Don Hummer Trucking to check interest to host fundraiser – IN PROGRESS
      • No update.
    • Nick Pfeiffer will contact Danny Kern (Iowa USSSA) to discuss debts – COMPLETE
      • Sanction fee owed – $1,000
      • Insurance owed – $793.10
  4. Sponsorship:
    • Nick Pfeiffer created two letter templates intended for fundraising solicitation. One letter mentions past club fraud and funding needs, the other letter does not. All letter templates include Nick Pfeiffer’s name, but can be customized as needed.
    • Nick Pfeiffer will send a separate email to the club with the list of businesses that were former Clippers Baseball Club sponsors and letter templates for club use. Club members should review the list and reach out to businesses they have relationships with and document who has been contacted.

      • At the 11/11/19 meeting it was discussed that Panchero’s offers a deal where they make discounted burritos the club can buy for $2-3 and sell at the Clipper Classic for $5.
        • No update.
    • Scratch Cupcakery
      • They are booked through the summer of 2020 for fundraiser events. The club will revisit this fundraiser opportunity next year.
    • GreenState Credit Union
      • $250 was raised.
  6. Debts to be Paid from Fundraisers:
    • DECISION (12/9/19): $621.72 has been raised to repay debts. The club will pay $300 to the city of North Liberty, and $300 to the city of Tiffin.
  7. Update on Pending Legal Details:
    • The State is seeking approximately $37K in restitution from the former club president.
    • The next court date scheduled for 2/7/20.
  8. Clipper Classic:
    • The club has started the process of registering with USSSA and expects to be live by 12/14/19.
    • Golda Mohonan notified the Optimist Club that NLYBS will run the concession stand for the Clipper Classic this year. The club expects to reestablish a partnership again in 2021 when it’s back to a 2-day tournament.
  9. Treasurer’s Report:
    • 12/10/19 Clippers Baseball Club bank account balance: $11,061.66.

  10. Clippers Baseball Club Apparel Webstore:
    • Clippers baseball apparel expected to be complete on approximately 12/18/19.
    • You will get an email when your order is ready. Customers can select to pick up from the group coordinator, pick up at Ironside Apparel or ship via UPS.

  12. Decisions:
    • DECISION (10/14/19): The CCASD, insurance dues, and mound rental fees are the top debt priorities: $500 owed to CCASD, $793.10 owed for insurance dues, and $500 owed for mound rental fees.
    • DECISION (10/14/19): There is $479 left after CCASD, insurance dues, and mound rental fees are paid.Of the remaining funds raised $100 will go to Tiffin Parks & Rec, and $350 will go to North Liberty Parks & Rec.
    • DECISION (11/11/19): The Clippers Club Board voted in favor of making the Clipper Classic a one-day USSSA sanctioned tournament.
